My Project Group Limited ("we", "us", "our") operates the MPG Site Records app ("the App"). This policy explains what information we collect, why we collect it, and how we protect it.

Who this app is for MPG Site Records is a private work app for staff and subcontractors of My Project Group Limited.

Access requires an account issued by us.

Information we collect

• Account information: your name, email address and assigned role (tradesman, site manager or admin).

Work records: site allocations, daily site records, timesheets, materials, supplier receipts and invoices you submit.

Photos and documents: images and files you capture or upload as evidence of work, attached to the relevant job.

Location: your device location is used only at the moment you clock in or clock out, or when you upload site evidence, to confirm you are on or near the allocated site. We do not track your location continuously or in the background.

Receipt data: when you photograph a receipt, the image is processed to read supplier, cost, VAT and date to help complete your material record. You review and confirm every value before it is saved.

How we use your information

• To operate the App and provide your role-based features.
• To record, review, approve and pay work, timesheets and materials.
• To confirm attendance on allocated sites.
• To prepare invoices and, where enabled, submit approved invoices to our accounting system (Xero).

How your data is stored and shared

Data is stored securely in our backend (Supabase) with access restricted by role.

Photos and documents are held in private storage accessible only to authorised users.

We use the following processors: Supabase (secure database and storage), OpenAl (reading receipt images you submit), and Xero (accounting, for approved invoices only).

• We do not sell your data or use it for advertising.

Data retention We keep work records for as long as required for business, tax and legal purposes. Account data is removed when your access ends, subject to legal retention requirements.

Your rights Under UK GDPR you may request access to, correction of, or deletion of your personal data. To make a request, or to have your account and associated data deleted, contact us using the details below.

Children The App is not intended for anyone under 16 and is for authorised workers only.
